Data Deletion Instructions
This page explains how to make a deletion request for your data in the Catalogtopia application, including data processed through your Meta (Facebook) connection, and states plainly what today's system can delete.
Last updated:
1. In short
- To remove your Meta connection: in the application, Settings → Meta connection → "Disconnect". The Meta access key and the catalogue mapping are deleted immediately.
- For every other deletion request: send an e-mail with the subject "Data deletion request" from your account's e-mail address to privacy@catalogtopia.com. We answer your request within 30 days at the latest.
2. What you can do in the application
- Disconnect Meta: Settings → Meta connection → "Disconnect". Your encrypted Meta access key and the mapping between the Catalogtopia catalogue and the Meta catalogue are permanently deleted. Item statuses already read from Meta (item IDs, status and error codes) are not deleted by this step.
- Sign out: "Sign out" in the user menu. The session record of this browser is deleted.
- Delete a store or a data source: a store or source deleted in the application is only removed from view; its product data, raw copies and feed address are not deleted.
3. A deletion request by e-mail
- Write to privacy@catalogtopia.com from the e-mail address registered to your account. Subject: "Data deletion request".
- In the e-mail, state your account's e-mail address and what you want deleted: the whole account, or only an organisation, a store or the Meta data.
- If needed, we send a confirmation e-mail to that address to verify that the request comes from the account holder.
- Our answer states clearly which data was deleted and which cannot yet be deleted in today's system.
Removing Catalogtopia in Meta's settings ("Apps and websites" or the connected apps in your business settings) does not by itself start the deletion of your data on our side; send the same e-mail for that too.
4. What can be deleted today
This table shows how the system actually behaves today.
| Data | Today |
|---|---|
| Meta access key and catalogue mapping | Deleted immediately with "Disconnect" in the application. |
| Item statuses read from Meta | Not deleted on disconnect, only no longer shown; there is no way to delete them in the application. |
| Session record | Deleted when you sign out. Expired records are not cleaned up automatically. |
| Account (name, e-mail, password hash) | There is no way to delete it in the application. |
| Store, source and product data, raw copies, feed address | Deleting in the application only removes them from view; the data stays. |
| Shopify access key (encrypted) | There is no way to disconnect Shopify in the application. |
| Images you uploaded (Cloudflare R2, public) | There is no way to delete them today. |
| Activity records | No automatic deletion. |
| Server logs (nginx) | Deleted after 14 days. |
| Encrypted database backups | Daily backups are deleted on the server after 7 days; the same clean-up job also covers the copies in Cloudflare R2. |
5. Timing
We answer a request made by e-mail within 30 days at the latest (KVKK Art. 13). The in-app "Disconnect" step takes effect immediately.
6. Shopify
Removing Catalogtopia from your Shopify admin does not by itself start the deletion of your data on our side. For your deletion request, send the e-mail in section 3.
